Microsoft Authenticator App Set Up (iPhone/iPad)

Microsoft Authenticator (iPadOS/iOS)


When first signing into your KC Microsoft 365 account, you’ll need to set up the Microsoft Authenticator app, along with adding your phone number for added security.


This means when signing into your account, along with your password, you will need to enter a code, or tap 'approve' on the App.


This greatly improves security, and means if your password is compromised, an unauthorised person cannot get into your account without having access to your phone.

First, we will install the App, so open up the App Store, click the magnifying glass in the bottom right, and search for “Microsoft Authenticator” in the search bar at the top of the App Store.

Tap the ‘Get’ button. (It might be a cloud icon, if it is, then tap it).

You might get this pop up to confirm you want to install the app. If so, tap ‘Install’.

You will see a circular progress bar where 'Get' was, showing the download progress. 

Once it has installed, you will see the ‘Open’ button appear in its place. Tap it.

The app will open and you'll be shown the privacy agreement page (Left image below). 

You can Decline or Accept, but we recommend to tap ‘Accept


On the next page (right image below), tap the ‘Scan a QR code’  button. 


DO NOT PRESS 'Sign in with Microsoft' or 'Add work or school account'.


You do not need to add your account here, doing so will get you stuck in a loop were you will be unable to sign in because you've not set up the authenticator. (If this happens, you can back out of signing in, or close the app and reopen it.)



 


After tapping 'Scan a QR code' you will get a prompt appear to allow the Microsoft Authenticator app permission to access the camera. Tap 'OK'.

The app should open your camera, ready for you to scan the QR code.


NOTE 

If the Microsoft Authenticator app does not automatically open the ‘Scan QR Code screen which will look like you're using the camera app, or it gets closed, do the following. 


On the main page, click the ‘+’ symbol in the top right to add an account 

 

Select ‘Work or school account’ from the account type list, then choose ‘Scan a QR code.’

Now you're ready to scan the QR code, go back to your main device and scan the QR code that is displayed after signing in. 

 

The prompt you get from Microsoft when signing in should look like the below, on the app, point the camera at the screen so the code is in frame. It will capture the code and add your account to your app.



 

Your phone should get a prompt to allow Microsoft Authenticator to send you notifications. Tap ‘Allow’

You should now see your account listed in your Authenticator app 




Thats it! You've successfully set up the Microsoft Authenticator app!
